3. Configuration

The Configuration menu in Odoo CRM provides various options for customizing and managing the CRM environment. It allows users to configure sales teams, stages, lead management settings, assignment rules, and other CRM-related features. Proper configuration helps organizations adapt the CRM module to their sales processes and business requirements.

3.1 Settings

The Settings menu allows users to configure and customize various CRM features according to business requirements. From this section, users can manage lead generation options, sales team settings, assignment rules, forecasting features, and other CRM-related configurations to optimize the sales workflow and improve customer relationship management.

    • Recurring Revenues

    When enabled, this feature allows users to define recurring revenue amounts and recurring plans on opportunities. It is particularly useful for subscription-based services and recurring business contracts, helping organizations track and forecast future recurring income.

    • Leads

    When enabled, Odoo adds a lead qualification stage before opportunities are created. This allows sales teams to review and evaluate potential customers before converting them into opportunities within the CRM pipeline.

    • Multi Teams

    When enabled, salespersons can be assigned to multiple sales teams instead of being limited to a single team. This provides greater flexibility when managing sales activities across different departments or business areas.

    • Ringover VOIP Phone

    When enabled, Odoo integrates with Ringover's VoIP phone system, allowing users to make and receive calls directly from Odoo, track call activities and SMS messages, and access AI-generated conversation transcripts.

    • Predictive Lead Scoring

    When enabled, Odoo automatically calculates the probability of winning a lead based on historical CRM data and factors such as stage progression, phone quality, and email quality. This helps sales teams prioritize leads with a higher chance of conversion.

    • Update Probabilities

    This option updates the success probabilities of leads and opportunities based on the predictive lead scoring model. As new data becomes available, Odoo recalculates the probabilities to provide more accurate sales forecasts.

    • Duplicate Contacts Policy

    This setting controls how Odoo handles duplicate contacts. Users can choose to receive a warning when a duplicate contact is detected or completely prevent the creation of duplicate contact records.

    • Rule-Based Assignment

    When enabled, Odoo automatically assigns leads to salespersons according to predefined assignment rules. This helps distribute leads fairly and reduces the need for manual assignment.

    • Duplicate Products Policy

    This setting determines how Odoo manages duplicate product names. Users can either allow duplicates with a warning message or prevent duplicate product records from being created.

Lead Generation


    • Lead Enrichment

    When enabled, Odoo enriches leads with additional company information based on their email addresses. The system can automatically retrieve business details such as company information, industry, website, and other relevant data to help sales teams better understand potential customers.

    • Enrich Leads on Demand Only

    When this option is selected, lead enrichment is performed only when a user manually requests it. This allows organizations to control credit consumption and enrich only selected leads when needed.

    • Enrich All Leads Automatically

    When enabled, Odoo automatically enriches all newly created leads without requiring user intervention. The system retrieves available company information in the background, providing sales teams with more complete lead data.

    • Lead Mining

    When enabled, Odoo can generate new leads automatically based on predefined criteria such as country, industry, and company size. This feature helps organizations discover potential customers and expand their sales pipeline with new business opportunities.

3.2 Sales Teams

The Sales Teams menu allows users to create and manage sales teams within the CRM module. Sales teams help organize sales activities, assign responsibilities, and monitor team performance. By grouping salespersons into dedicated teams, organizations can improve collaboration, streamline lead and opportunity management, and ensure a more efficient sales process.

The Sales Teams page displays all sales teams configured within the CRM module. From this view, users can browse available sales teams, view team leaders and related information, and quickly search for specific teams using the search bar. This page provides a centralized overview of sales team structures and helps users easily access and manage team-related records.

Click the New button to create a new sales team.

After clicking the New button, users can enter the sales team details and configure team-related settings. Information such as the team name, team leader, company, email alias, invoicing target, and team members can be specified. Completing these details helps organize sales activities, assign responsibilities, and manage the team's performance more effectively.

The Add button allows users to add team members to the sales team. Team members can collaborate on leads and opportunities, helping distribute sales activities and improve teamwork within the CRM module.

When adding team members, users can select one or multiple members from the available list. A search feature is provided to quickly find a specific member, and if the required member does not exist, users can create a new member directly during the selection process.

Chatter Panel

The chatter panel on the right side of the sales team form records all important activities and updates related to the sales team. Users can view changes made to team details, member updates, logged notes, scheduled activities, messages, and other modifications. Each update is displayed along with the user who performed the action, providing better tracking, transparency, communication, and accountability in managing the sales team.

3.3 Teams Members

The Team Members section allows users to view and manage the members assigned to a sales team. From this section, users can add salespersons, define team participation, and organize responsibilities within the team. Proper member assignment helps improve collaboration and ensures efficient lead and opportunity management.

Inside the Team Members section, users can view all salespersons assigned to the selected sales team in a structured list. Users can also search for specific team members using the search functionality to quickly locate records.

A New button is available to create a new team member, allowing users to assign a salesperson to the team.

When creating a new sales member, users can either select an existing sales person or sales team from the system, or create a new one if it is not available, ensuring flexibility in setting up both sales persons and sales teams.

After selecting a Sales Team, users can complete the Team Details section by filling in the required team information and configuration settings. Users can also add Team Members to the selected sales team, allowing them to assign salespersons and define the members responsible for handling leads and opportunities within the team.

3.4 Activity Types

The Activity Types feature allows users to define and manage different types of activities that can be scheduled and tracked within the CRM system. Activity types help organize follow-up actions such as calls, meetings, emails, and other tasks, ensuring consistent communication and efficient management of leads, opportunities, and customer interactions.

The Activity Types list displays all configured activity types along with key information used to identify and manage them.Users can also use the search functionality to quickly find a specific activity type. The list shows the activity Name, Default Summary, the default scheduling period shown in Planned In, the activity Type, the associated Model, and the selected Icon. This overview allows users to quickly review existing activity types, compare their configurations, and locate the required activity type efficiently.

3.5 Activity Plans

The Activity Plans feature allows users to create predefined sequences of activities that can be automatically applied to records within the CRM system. Activity plans help standardize workflows by defining a set of follow-up actions, deadlines, and schedules that users should complete. This ensures consistency in customer interactions, improves task management, and streamlines sales and communication processes.

Users can also use the search functionality to quickly find a specific activity plan. Additionally, the New button enables users to create new activity plans based on their business requirements.

After clicking the New button, users can create a new activity plan by entering the required information, such as the Plan Name and the related Model. Users can then define the activities that will be included in the plan through the Activities To Create section. For each activity, details such as the Activity Type, Summary, Assignment, Assigned To, Interval Unit, and Trigger can be configured. These settings allow users to build a structured workflow with predefined activities and scheduling rules, ensuring consistent execution of follow-up processes.

3.6 Stages

The Stages feature allows users to define and manage the different phases of the sales pipeline. Stages represent the progression of leads and opportunities throughout the sales process, helping sales teams track status, monitor progress, and organize their workflow efficiently. By using stages, organizations can standardize their sales process and gain better visibility into the movement of opportunities across the pipeline.

The Stages page displays all configured pipeline stages in a structured list view. Users can review key information for each stage, including the Stage Name, whether it is marked as an Is Won Stage, and the associated Sales Team when applicable. A search feature is also available, allowing users to quickly locate a specific stage and efficiently manage the sales pipeline.

Users can also define stage Requirements, which provide guidance on the conditions or actions that must be completed before an opportunity can be moved to that stage. This helps maintain a consistent and well-structured sales process.

3.7 Tags

The Tags feature allows users to create and manage labels that can be assigned to leads and opportunities. Tags help categorize records based on specific characteristics, priorities, industries, or any custom criteria defined by the organization. By using tags, users can organize CRM data more effectively, improve filtering and reporting, and quickly identify records that share common attributes.

The Tags page displays a list of all configured tags in the system, showing the Tag Name for each record along with its assigned color. These colors provide a visual way to distinguish between different tags and make them easier to identify throughout the CRM system. Users can use the search functionality to quickly find a specific tag, making it easier to manage and organize large numbers of tags. This view provides a simple overview of existing tags used to categorize leads and opportunities within the CRM system.

3.8 Lost Reasons

The Lost Reasons feature allows users to define and manage the reasons why leads or opportunities are marked as lost. These reasons help sales teams understand why potential deals were not successfully converted, providing valuable insights for analysis and process improvement. By tracking lost reasons, organizations can identify common challenges, evaluate sales performance, and make more informed business decisions.

The Lost Reasons page displays a list of all configured reasons used when marking leads or opportunities as lost. Users can view the Description of each lost reason, helping them understand and categorize why potential deals were not successfully closed. A search feature is also available, allowing users to quickly find a specific lost reason and manage records more efficiently.

Users can click the New button to create a new lost reason by entering a description that explains why a lead or opportunity was marked as lost. This helps maintain accurate records and supports better analysis of unsuccessful sales opportunities.

After clicking the New button, users can add a new lost reason by entering its description in the available field at the bottom of the list. Once the description has been entered, users can click Save to store the new lost reason or Discard to cancel the operation without saving any changes.

3.9 Lead Mining Requests

The Lead Mining Requests feature allows users to manage requests for generating and importing potential leads into the CRM system. These requests help automate lead acquisition by gathering prospect information based on specific criteria. By using lead mining requests, organizations can streamline lead generation, expand their sales pipeline, and efficiently identify new business opportunities.

The Lead Mining Requests page displays all lead mining requests in a structured list view. Users can review important information such as the Request Number, the target number of leads in Number Target, selected Countries, Industries, and the current Status of each request. A search feature is also available, allowing users to quickly find a specific request. This view provides an overview of lead generation requests and helps users track the progress of lead mining activities within the CRM system.

Users can click the New button to create a new lead mining request. This allows them to define the criteria for generating potential leads, such as target countries, industries, and the desired number of leads to be collected.

After clicking the New button, users can create a lead mining request by specifying the lead generation criteria. The form allows users to define the desired number of Companies to be generated, select the target Countries, choose specific States if needed, and filter leads by Industries. Users can also apply a Filter on Size to target companies based on their size.


Additionally, the request can be assigned to a specific Sales Team and Salesperson, ensuring that generated leads are routed to the appropriate users. Default Tags can also be assigned so that newly generated leads are automatically categorized and organized within the CRM system. Once all required information has been entered, users can click Submit to send the lead mining request for processing. The request status can then be tracked through stages such as Draft, indicating that the request has been created but not yet processed, and Done, indicating that the lead generation process has been completed successfully.
